At UMaine Extension, you can use AI to support education, research, and outreach by saving time, generating new ideas, and improving accessibility.<\/p>\n\n\n\n<p>This page is for all staff, whether you\u2019re completely new to AI or already using it. Even if you choose not to use AI in your own work, these technologies are already built into many of the tools, systems, and information you interact with every day.<\/p>\n\n\n\n<p>Along with guidance, support, and resources for using tools like Google Gemini and ChatGPT, our goal is to help you build a clear understanding of AI and its potential risks. AI can be used to save time and improve communication, but it must never replace human expertise. Every AI output must be reviewed, verified, and edited to match Extension\u2019s research-based, relationship-centered, and community-engaged mission.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/docs.google.com\/document\/d\/1PWyVq5t1sBuw8o9PMDlxh-7XdP_oYiEXxtcerzqlN4I\/edit?usp=sharing\">UMaine Extension Generative AI Guidelines (July, 2025)<\/a><\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Generative AI Guidance Summary<\/strong><\/h4>\n\n\n\n<p><strong>Extension AI use should:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Be intentional, not automatic.<\/li>\n\n\n\n<li>Be accurate, fact-checked, and transparent about AI\u2019s role.<\/li>\n\n\n\n<li>Maintain Extension\u2019s tone, quality, and integrity.<\/li>\n\n\n\n<li>Never use personal, confidential, or sensitive information.<\/li>\n\n\n\n<li>Consider environmental impact and only use AI when it adds value.<\/li>\n\n\n\n<li>Be informed by continual learning about AI\u2019s risks and capabilities.<\/li>\n<\/ul>\n\n\n\n<p><strong>What\u2019s allowed:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Internal use:<\/strong> You can use AI to make your own work easier and faster for internal purposes.<\/li>\n\n\n\n<li><strong>External use (with SME review):<\/strong> You can create public-facing content only if a subject matter expert checks it for accuracy and tone.<\/li>\n<\/ul>\n\n\n\n<p><em>Automating interactions with the public (e.g., AI-enabled chatbots, web tools or interactive calculators) requires prior Extension Leadership Team approval with a formal quality assurance monitoring plan.<\/em><\/p>\n\n\n\n<p><strong>What\u2019s not allowed:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>No confidential or personal data<\/strong>: AI tools do not guarantee privacy.<\/li>\n\n\n\n<li><strong>No realistic, lifelike images or video<\/strong>: These could be mistaken for real images and cause confusion. <\/li>\n\n\n\n<li><strong>No high-impact automated decisions<\/strong>: AI cannot replace human decision-making in areas like hiring or evaluations.<\/li>\n\n\n\n<li><strong>No harmful or copyrighted material<\/strong>: Avoid generating anything that could harm, mislead, or violate rights.<\/li>\n\n\n\n<li><strong>No AI in meetings without participant permission<\/strong>: Inform all participants and get explicit consent before using AI tools to record, transcribe, or generate content from meetings.<\/li>\n<\/ul>\n\n\n\n<p><strong>Disclosure<\/strong>:<\/p>\n\n\n\n<p>If AI significantly shaped the ideas, structure, analysis, or creative direction, let your audience know. Minor edits, formatting help, or small idea prompts don\u2019t require disclosure. You can use your own wording. One example is, <em>\u201cCreated by UMaine Extension staff with generative AI assistance.\u201d<\/em><\/p>\n\n\n<style>.wp-block-kadence-spacer.kt-block-spacer-21102_d8f55e-7c .kt-block-spacer{height:60px;}.wp-block-kadence-spacer.kt-block-spacer-21102_d8f55e-7c .kt-divider{border-top-width:1px;height:1px;border-top-color:#eee;width:100%;border-top-style:solid;}<\/style>\n<div class=\"wp-block-kadence-spacer aligncenter kt-block-spacer-21102_d8f55e-7c\"><div class=\"kt-block-spacer kt-block-spacer-halign-center\"><hr class=\"kt-divider\" \/><\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"getting-started\"><strong>Getting Started: For Staff New to AI<\/strong><\/h3>\n\n\n\n<p>If you\u2019ve never used AI before, this section will help you take your first steps with confidence.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>What is AI?<\/strong><\/h4>\n\n\n\n<p>Artificial Intelligence (AI) uses computer systems to perform tasks that normally require human intelligence, such as understanding language, recognizing patterns, or generating new ideas. <strong>Generative AI<\/strong> is a type of AI that can create text, images, audio, or video based on patterns it has learned from data.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Key Terms (Beginner-Friendly)<\/strong><\/h4>\n\n\n\n<p>Before you begin, it may be helpful to review some AI-related terms that you may encounter:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Artificial Intelligence (AI)<\/strong> \u2013 Technology that helps computers do things we usually think of as \u201chuman,\u201d like answering questions, writing text, or recognizing images.<br><\/li>\n\n\n\n<li><strong>Bias<\/strong> \u2013 When AI\u2019s answers show an unfair preference or leave out important perspectives. This can happen because it learned from patterns in real-world information, which may have gaps or stereotypes.<br><em>Example:<\/em> If you ask for farming examples and it only mentions large commercial farms, you can re-prompt to include small farms.<br><\/li>\n\n\n\n<li><strong>Confidential Information<\/strong> \u2013 Private details about people, programs, or the university that should never be entered into AI tools. This includes names, addresses, financial or medical information, and unpublished research.<br><\/li>\n\n\n\n<li><strong>Context<\/strong> \u2013 Extra details you give the AI in the prompt so it better understands your request. The more background you provide, the more useful the answer will be.<br><em>Example:<\/em> Instead of asking, \u201cWrite a gardening tip,\u201d you could add context: \u201cWrite a one paragraph gardening tip at the 10th grade reading level for Maine homeowners, focusing on May soil preparation for vegetable gardens.\u201d<br><\/li>\n\n\n\n<li><strong>Disclosure<\/strong> \u2013 A short note saying AI helped create something.<br><em>Example:<\/em> \u201cCreated by UMaine Extension staff with generative AI assistance.\u201d<br><\/li>\n\n\n\n<li><strong>Fact-Checking<\/strong> \u2013 Double-checking AI\u2019s answers against reliable, trusted sources before you use or share them.<br><\/li>\n\n\n\n<li><strong>Generative AI<\/strong> \u2013 A type of AI that can create new content like text, pictures, audio, or video, based on patterns and examples it has learned from.<br><\/li>\n\n\n\n<li><strong>Large Language Model (LLM)<\/strong> \u2013 The \u201cbrain\u201d inside tools like ChatGPT or Gemini that helps them understand and respond in human-like language.<br><\/li>\n\n\n\n<li><strong>Prompt<\/strong> \u2013 The instruction or question you give the AI. Think of it like giving directions to a coworker: the clearer you are, the better the result.<br><em>Example:<\/em> \u201cGive me three ideas for a summer youth gardening activity in Maine.\u201d<br><\/li>\n\n\n\n<li><strong>Subject Matter Expert (SME)<\/strong> \u2013 A person with deep knowledge in a specific area who checks AI\u2019s work to make sure it\u2019s accurate and appropriate.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>First Steps<\/strong><\/h4>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Choose an AI tool<\/strong><br>Start with <a href=\"https:\/\/gemini.google.com\/app\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Google Gemini<\/strong><\/a> or <a href=\"https:\/\/chatgpt.com\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>ChatGPT<\/strong><\/a>. These are the most widely used and supported tools in the University of Maine System. Both work in similar ways: you type a request into a simple text box, similar to a search engine. Features may differ, and both tools are updated regularly, but there is no single \u201cbest\u201d option for everyone. For most users, it comes down to personal preference. Skills and techniques you learn with one tool are mostly transferable to the other.\n<ul class=\"wp-block-list\">\n<li><strong><a href=\"https:\/\/gemini.google.com\/app\">Gemini<\/a>:<\/strong> Every UMS employee and student has free access through their Google Workspace account.<\/li>\n\n\n\n<li><strong><a href=\"https:\/\/chatgpt.com\/\">ChatGPT<\/a>:<\/strong> The free version is available by creating an account on the ChatGPT website.<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Start with a very simple prompt<\/strong><br>Copy and paste one of the examples below, or try your own:\n<ul class=\"wp-block-list\">\n<li>Give me five ideas for healthy snack recipes using Maine-grown produce<\/li>\n\n\n\n<li>List ten creative ways to make learning about pollinators fun for kids<\/li>\n\n\n\n<li>Create a step-by-step plan for organizing a community cleanup event<\/li>\n\n\n\n<li>Explain composting in simple terms for a fourth-grade science class<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Review the results<\/strong><br>\n<ul class=\"wp-block-list\">\n<li>You can ask the AI to make changes, including revisions for clarity and audience needs.<\/li>\n\n\n\n<li>Add additional context to the prompt. <em>Remember, vague prompts result in vague answers!<\/em><\/li>\n\n\n\n<li>Check for accuracy, tone, and alignment with Extension\u2019s values.<\/li>\n\n\n\n<li>Fact-check claims against trusted sources.<\/li>\n\n\n\n<li>If the content is for an external audience, have it reviewed and edited by an SME.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>How to Tell AI Exactly What You Want<\/strong><\/h4>\n\n\n\n<p>If you ask an acquaintance, \u201cPick me up something for lunch,\u201d they might return with a large tuna salad sandwich. While you appreciate the gesture, it is disappointing because they did not know you had already eaten a big breakfast, are allergic to mayonnaise, and eat gluten-free. If you had shared those details and described what you wanted, you would have been much more likely to get a meal you could enjoy.<\/p>\n\n\n\n<p>The same idea applies when working with generative AI. A vague prompt such as \u201cWrite an article about gardening\u201d will likely produce a generic result that misses your needs. By adding context such as who the audience is, the level of detail they need, the tone you want, and any specific requirements, you guide the AI toward a response that is accurate, relevant, and useful.
