Writing Alt Text for Step-by-Step Screenshots: What to Include (and What to Skip)
How should I write alt text for a screenshot to serve as an image that shows a step-by-step process?
Response:

Alt text should be short and tell a reader what the image shows and why it matters. You do not need to describe every detail, just enough so someone who cannot see the image can understand its purpose. Include the word “screenshot” as it helps explain that it is a picture of a screen.
If the process being shown in the screenshot is long or complicated, keep the alt text brief (for example, “Screenshot of event page; see caption for full instructions”) and provide the detailed steps in a caption or nearby text on the page. The caption should explain the full process clearly, step by step.
For general guidance on writing alt text for any image, refer to the UMaine learning module “Designing Accessible Digital Content” as well as other reputable resources such as WebAIM Alt Text Guidance.
Otherwise, Avoid Using Screenshots: Protect Quality and Copyright Compliance
Screenshots should only be used for step-by-step processes or “how-to” images
Over time, our Team has noticed screenshots of photos and logos being used across Extension’s websites instead of original, optimized images. This should be avoided. Using images from other websites, or even UMaine sites, without permission may violate copyright. Screenshots also tend to appear pixelated or lower quality.
To ensure the highest-quality images:
- Use stock photography from Photoshelter or from the photo resources provided on Plugged In
- Do not take screenshots from other Extension sites, other UMaine sites, or external websites
This guidance applies to all digital content and print materials as well. Always use original or approved images to maintain quality and compliance.
