Mailing Lists

Distribution of Mailing Lists

Mailing lists are not federal records and, therefore, not covered by the federal Freedom of Information Privacy Acts that pertain to federal records. University and USDA policy states that Extension mailing lists should not be shared or distributed to any other parties.

Postage

Orono pays for anything considered First-Class Mail which includes postcards, regular envelopes, and flats (manila envelopes). See Types of First-Class Mail for weight and size standards.

If stamps are running low, any staff can use their Corporate Card to order postage or they can go to their local post office. The Smith-Lever chartfield should be used when processing the transaction in Concur. For additional assistance ordering stamps or to have them drop shipped to your office, contact Tori Jackson, tori.jackson@maine.edu.

Mail To and From the Orono Campus

Mail to Orono

To reduce postage costs, counties are asked to place multiple items in a single envelope destined for the Orono campus. Label individual items with the name and campus address of the receiver and address the single envelope to “Mail Room, University of Maine Cooperative Extension, 15 Estabrooke Drive, Orono, Maine 04469-”. Mail will be distributed to the appropriate addressee.

Avoid the cost of mailing when possible by sending with a staff member who is traveling to Orono, especially with newsletters, press releases, and other multiple items that are not in a hurry to reach their campus destination.

Mail from Orono

County and camp mail that is not obviously time-specific will be held in the Estabrooke Hall mailroom for pick up by county or camp staff. Mail that is time specific and is intended for counties and camps will be collected and sent weekly. Campus notices, announcements, and campus advertisements will be scanned and sent via email to all staff with a subject line of “INFORMATIONAL CAMPUS MAILING,” and the originals disposed of.

Alternative Methods

To save the cost of postage you are encouraged to scan and email whenever possible.
